Every time I started a new system, I told myself this time would be different. I'd be more consistent. I'd maintain it properly. I'd build the habit. And every time, after some weeks or months, the system would quietly fall apart — and I'd conclude that the issue was me.
I wasn't disciplined enough. I wasn't consistent enough. I kept saying I'd keep the system updated and then I didn't, which must mean something unflattering about my character.
It took me a long time to realize that I was wrong about what the problem was.
Systems fail by design, not by character
A system that requires perfect discipline to maintain is a system with a design flaw. The best operational systems work with human nature — with the reality that some days you're tired, some weeks are chaotic, and some months everything feels like it's on fire. They're built to accommodate imperfection without collapsing entirely.
A well-designed system is forgiving. It doesn't demand that you update it the moment something changes. It makes it easier to keep it current than to let it fall behind. It gives you friction in the right places — where you need it to slow down and think — and removes it everywhere else.
A system that requires perfection to function is a system that will eventually fail everyone who uses it.
What good design actually looks like
Good operational system design isn't clever. It isn't complex. It usually looks almost too simple when you first see it. But it works reliably in the messy reality of actual business operations — not the idealized version of your business where everything happens in sequence and you always have time to update your records.
The question isn't "how do I get more disciplined?" The question is "how do I design a system I don't need to be disciplined to use?"
That reframe changes everything. It moves the burden from your character to the design. And it opens up a different kind of question — not a self-critical one, but a curious one.
What would make this easier? What would make the right action the path of least resistance? What would make maintaining this system feel almost like nothing at all?
Answer those questions honestly, and you get a system that actually works — not because you became a different person, but because the system met you where you were.
